HR Specialist

Reporting to the HR Manager, the HR Specialist plays a crucial role in supporting the effective delivery of HR services across the organization. This position assists the HR Leadership in managing key HR functions, including but not limited to employee relations, policies and procedures, workplace accommodations, learning and development, employee engagement, performance and administration. This role supports the implementation of HR programs and contributes to the success of HR projects and initiatives. This role has a significant impact on the employee experience and ensures the smooth operation of HR-related activities.

Primary Job Responsibilities:

  • Support the HR Manager in resolving employee relations matters, including conducting initial assessments and participating in grievances and conflicts resolution processes
  • Administer of progressive discipline procedures by ensuring consistency, documentation and alignment with policies.
  • Conduct workplace investigations under guidance, including gathering statements, analyzing facts, and preparing preliminary investigative reports.
  • Support the preparation of documentation related to severance packages and exit logistics.
  • Maintain employee relations files and documentation, ensuring confidentiality.
  • Participate in the development, implementation, maintenance and ongoing review of HR policies and procedures to ensure compliance and relevance
  • Support the administration of various leave requests (maternity, paternity, etc.) and return-to-work processes.
  • Monitors changes to employment legislation and supports updating internal policies accordingly.
  • Support the administration of Employment Equity and Pay Equity programs.
  • Assist with the preparation of compliance reports (AODA, Pension, etc.).
  • Coordinate short-term and long-term disability programs, including liaising with benefits providers and managing internal documentation
  • Assist in managing workplace accommodation requests and related documentation.
  • Support the management of cases related to workplace injuries, including reporting to WSIB and other provincial bodies and support return-to-work plans.
  • Maintain communication with Payroll regarding employee leave and disability status.
  • Assist in the coordination and delivery of learning and development programs.
  • Administer learning platforms (e.g., LinkedIn Learning) and maintain learning records
  • Support the execution of employee engagement surveys, data analysis and related action plans.
  • Support employee reward and recognition programs; Assist with departmental budget monitoring, invoice processing, and expense tracking.
  • Assist with the administration of programs for Japanese Ex-pats (OHIP, Driver’s License, SIN).
  • Support the preparation and distribution of HR communications.
  • Maintain digital and physical HR files and records, ensuring accuracy and compliance.
  • Provide general HR support to employees and managers, answering inquiries and providing guidance on HR policies and procedures.
  • Assist with HR projects and initiatives as assigned by the HR Manager or other HR leaders.
  • Perform additional duties as assigned to support the overall functioning of the HR department.

Qualifications

  • University Degree in Business Management or Human Resources with 2-3 years’ relevant experience or an equivalent combination of education, training, and experience.
  • Familiarity with the employment legislations and regulations such as Employment Standards Act (ESA) and Human Rights Code (OHRC) is needed
  • Experience dealing with workplace injuries and return-to-work programs will be an asset.
  • Experience with Learning & Development function of HR will be an asset.
  • Working towards or willingness to pursue HR certification (CHRP/CHRL) is an asset.
  • Experience with HRIS systems is an asset.

Physical Conditions

  • Flexible work-schedule & extra hours when required.
